Why Corporate Headshot Pricing Varies So Much in NYC
If you've gotten quotes from a few different photographers for your team's headshots, you've probably noticed the numbers don't just vary — they sometimes don't even seem to be describing the same service. One studio quotes a flat day rate. Another prices per person. A third won't give you a number until they know your headcount, location, and "usage." It's confusing, and if you're the one responsible for booking this for your office, that confusion makes it hard to know if you're getting a fair deal or getting upsold.
Here's what's actually driving that spread, and how to read a quote so you know what you're really paying for.
Who's actually behind the camera
The single biggest lever in corporate headshot pricing is experience. A photographer two years into their career and a photographer fifteen years in are not interchangeable, even if their gear bags look the same. Lighting a hundred different faces in a single day so that every one of them looks confident, not stiff, and not over-retouched, is a skill that takes years of reps to build. That expertise costs more because it takes longer to earn — not because of arbitrary markup.
This is also why "corporate headshots" spans such a wide range of formats. Some studios (ours included) run associate photographers for larger team days, trained on a specific system, so a 40-person office can get shot in a single day without every session running through one person's calendar. That's a different cost structure than booking a senior photographer solo, and it should be priced differently — but it should still be priced transparently, whichever tier you're in.
Format, headcount, and location
A single executive headshot in a studio is a different job than shooting an entire 60-person team on-location at your office. Location shoots add setup and teardown time, equipment transport, and often a second person on lighting. Volume changes the math too — the per-person rate usually drops as headcount goes up, because the fixed costs of the day (travel, setup, a photographer's time getting into rhythm) get spread across more people.
Turnaround and retouching
Not every quote includes the same finishing work. Basic color correction is different from full retouching. A 48-hour turnaround costs more to deliver than a two-week one. If a quote seems unusually low, it's worth asking directly what level of retouching is included and how fast you'll actually have usable files — sometimes the "deal" quote is missing the parts that make the images usable on day one.
Usage rights
This is the one people ask about least and should ask about most. Are you licensing these images for internal use only, or can marketing put them on the website and LinkedIn ads? Some studios build broad usage into every session; others charge extra for it, sometimes without saying so upfront. That difference alone can explain a large chunk of a price gap between two quotes that otherwise look similar.
